You will all be aware of the new General Data Protection Regulations (GDPR) that came into force on 25th May 2018. PAKAM has to be in compliance with these regulations.
As Observers you will have been given some personal data of Associates and non-iAMRS members who have taken Taster (Introduction to AD) drives. You will also have had email exchanges with them and in some cases you may have created electronic run sheets.
While this is all covered by the iAMRS contract with the individual concerned, the Group has to ensure that we do not retain this data any longer than it is required to carry out the training.
Therefore, once an Associate has completed their AD Course, or they do not complete it and come to the end of their Associate year, then with 14 days of that date you must delete all contact details, emails and run sheets from every personal device that it is recorded on.
In the case of a Taster or Introduction to AD drives, you must forward the electronic assessment sheet to the Chief Observer for their retention should the person purchase an iAMRS AD Course, in which case it will become part of their training data. Within 14 days of the completion of the assessment you must delete all contact details, emails and run sheets from every personal device that it is recorded on. The Chief Observer will only retain this assessment for 28 days after the date of the drive unless the person purchases an AD Course.
Similarly should you hold any of the data mentioned above in a paper format, then that must be confidentially destroyed by cross-shredding within the same timeline.
You will be required, on an annual basis, to confirm in writing that you have managed this data in accordance with this policy. Confirmation will be required at the end each Group financial year, 31st October, so that collectively the Observers’ confirmation of compliance to GDPR can be recorded in the minutes of PAKAM’s AGM.
